How each payroll run works
Before each pay date you send us hours, new hires, terminations and any changes to pay rates or deductions. We enter them, calculate gross-to-net pay for every employee and send you a preview to approve. After approval we release direct deposits and generate the pay stubs and the payroll journal entry for your books.
We process payroll in the platform that fits your business. If you already use Gusto, ADP or Paychex, we work inside your account. If you have no system, we help you choose one based on headcount, states and benefits, then set it up with correct tax accounts and pay schedules.
Payroll taxes and filings
Employers owe federal income tax withholding, Social Security and Medicare taxes, and federal unemployment tax, plus state income tax, state unemployment and sometimes local taxes. Each has its own deposit schedule and its own return. Federal deposits follow either a monthly or a semiweekly schedule, depending on your lookback period, and we track which one applies to you.
We make or schedule the deposits, file Form 941 each quarter and Form 940 each year, and handle the matching state returns. If a notice arrives from the IRS or a state agency, we review it, prepare the response and tell you whether a payment is actually due.
Year-end forms
W-2s and 1099-NECs are due to recipients and to the government by January 31. We reconcile payroll totals to the quarterly returns before issuing forms, because a W-2 that does not match Form 941 totals creates its own agency letters. We also review whether the people you pay as contractors meet the standard for contractor status, since misclassification is one of the most common payroll problems for growing businesses.
Compliance beyond the tax return
Payroll also touches wage and hour rules, overtime eligibility, paid sick leave laws that vary by state and city, and new-hire reporting. We flag the rules that apply in the states where you have employees and set up your pay codes to match. When you hire in a new state, we register you for withholding and unemployment accounts before the first paycheck.
Switching payroll providers mid-year
Moving payroll to a new provider or to us does not have to wait for January. We handle mid-year switches by loading year-to-date wages, withholdings and tax deposits for each employee so that the W-2s at year end show the full year and the quarterly returns reconcile. We compare the loaded totals to your last filed Form 941 before the first live run.
The cutover usually fits between two pay dates. We set a start date, run a parallel test payroll against your prior provider's results and release live pay only when the two match. Employees see no change in their pay or their direct deposit.

Do I need to change my payroll software?
No. We work inside Gusto, ADP, Paychex and similar platforms. If you have none, we recommend one for your size and states and set it up.
Who files my payroll taxes?
We do. We make or schedule deposits and file the quarterly and annual federal and state returns, and we respond to agency notices about them.
Can you process payroll for employees in more than one state?
Yes. We register for withholding and unemployment accounts in each state and set up the correct tax codes before the first pay date.
What if a contractor should have been an employee?
We review the relationship against the IRS and state tests and, where the risk is real, outline your options for correcting it, including voluntary programs where they apply.
