Bookkeeping
Bookkeeping Services for Small Business
Our bookkeeping services for small business keep your books current enough to decide from and clean enough to hand to a tax preparer without a cleanup project. We categorize transactions, reconcile every account and deliver monthly statements, so you spend time on the business instead of the ledger.

What is included
Everything the service covers
Transaction categorization
Every deposit and expense coded to the right account, with rules built from how your business actually spends.
Bank and credit card reconciliation
Each account tied to its statement every month, with differences traced and cleared.
Accounts payable and receivable
Bills entered and scheduled, invoices tracked, and aging reports that show who owes you what.
Monthly financial statements
Profit and loss, balance sheet and cash flow report delivered after each close.
What monthly bookkeeping includes
Each month we pull the bank, credit card and payment processor feeds into your accounting file, then review every line. Feeds categorize most transactions on their own, and the rest need a person who understands the business. A payment to a hardware store might be supplies, a repair, or equipment that should be capitalized. We make that call using your history and ask you only when the answer cannot be found in the documents.
Once transactions are coded, we reconcile each bank and card account to its statement. Reconciliation is where duplicate entries, missed deposits and uncleared checks show up. A file that is never reconciled can look fine on the surface and still carry errors that surface at tax time.
We then review payables and receivables, adjust for prepaid expenses and accruals when your accountant needs accrual-basis numbers, and close the month. You receive a profit and loss statement, a balance sheet and a cash flow summary, along with a short note on anything that moved more than expected.
Cleanup for books that fell behind
Many clients come to us with months of unreconciled activity, a tax deadline approaching or an accountant asking for statements that do not exist yet. We start with a review of the file: opening balances, uncategorized transactions, undeposited funds and accounts that do not match the bank. Then we work backward through each period, reconcile as we go and document every adjustment.
When the cleanup is done you get a file you can rely on and a list of the issues we found, such as personal expenses paid from the business account or loans recorded as income. From that point forward the work moves to a regular monthly close.
Software we work in
We work in QuickBooks Online and Xero, and we connect the payroll, point-of-sale and payment tools your business already uses, including Gusto, ADP, Paychex, Square and Toast. If your files sit in desktop software or a spreadsheet, we can migrate the history and set up a clean chart of accounts that matches how you report.
You keep ownership of the file and your login at all times. We work as users inside your accounting software, and you can see what we posted and when.
Who this fits
Our bookkeeping clients include restaurants and retail shops, contractors, e-commerce sellers, medical and dental practices, consultants and property owners. Some have a few hundred transactions a month and some have several thousand. The scope and price depend on volume, the number of accounts and how much cleanup is involved, and we quote a fixed monthly fee after reviewing your file.
Accounting firms that need bookkeeping capacity for their own clients can also use our team under their brand. See our outsourced support for CPA firms for that arrangement.
How bookkeeping connects to taxes and planning
Clean books shorten every other piece of financial work. A tax preparer who receives a reconciled file spends the time on tax questions instead of rebuilding the year. A lender who receives monthly statements on schedule treats the business as organized. A manager who sees margins each month catches a pricing problem in weeks instead of at year end.
If you also need returns, payroll or advisory, the same team can handle them from one set of books, which removes the handoffs where numbers tend to change. Clients who combine bookkeeping with tax preparation usually find that the return takes a fraction of the time it did when books arrived as a box of statements.
The process
How we work with you
- 1
Review
We look at your current file, bank access and prior returns, and agree on scope and monthly volume.
- 2
Set up
We clean the chart of accounts, connect feeds and set categorization rules.
- 3
Monthly close
Transactions coded, accounts reconciled and statements delivered after each month end.
- 4
Review call
A short call to walk through results and flag anything that needs your decision.
How soon after month end will I get my financial statements?
We agree a delivery date for your statements during setup. It depends on how quickly bank and card feeds are connected and requested documents arrive.
Can you fix books that are several months behind?
Yes. We review the file, reconcile each period in order and document every adjustment. The cost of a cleanup depends on how many months are open and how many accounts are involved, and we quote it before starting.
Which accounting software do you use?
QuickBooks Online and Xero. We also migrate from QuickBooks Desktop and from spreadsheets.
Do you also prepare the tax return?
Our tax team can prepare your business and personal returns from the books we maintain, so your accountant works from numbers that are already reconciled.
